Introduction

Colliers Indonesia Real Estate Management Services (REMS) has been appointed to manage PPPSRS South Hills apartment building. As a new and prestigious residential development located in South Jakarta, the aim of the REMS team is to provide excellent services for tenants, buyers, and investors, as well as keep them satisfied with the results.

Challenges

In managing a luxury apartment building, various challenges have had to be faced, such as:

  • Staff members of the Building Management Team that came from different educational backgrounds
  • Schedules not neatly arranged for common facilities use
  • Deactivating apartment facilities during the Covid-19 pandemic, so that tenants were limited in the facilities they could use
  • Ensuring all Building Management team members were not infected with Covid-19 at the same time
Strategy/Services

Several routine strategies are still being used and implemented by Colliers to provide excellent property management services going forward. The strategies that our REMS team apply are:

  • Continue to improve the quality of Human Resources by providing the necessary training, team building activities, and coaching
  • Using ICondo app to facilitate communication between building managers and tenants, as well as helping building management schedule apartment activities and facilities usage
  • Being proactive in conveying information and communicating the latest updates to all the tenants based on local government regulations
  • Conducting periodic swab tests on all staff every two weeks to anticipate the spread of Covid-19
  • Increase employee productivity and performance in terms of excellent service:
  1. Provide employees with training and skill development on a regular basis to increase employee abilities
  2. Reward recognition award program for employees
  3. Conduct a transparent assessment of the work of Building Management and outsource employees
  4. Utilizing property technology (CFM System) as a part of building operations and maintenance programme
  • Maximum application of SOP and use of IT management systems (implementation related to best practices processes, management, and technology solutions) to support operational processes and services (iCondo and CFM system)
  • Preparation of preventive maintenance management budget and schedule, effective efficiency, as well as consistent control and monitoring.
Result

With good teamwork and collaboration between Colliers Indonesia's REMS team, the South Hills Management and developer, we have been able to provide an excellent property management service. South Hills executed the handover process to the owners in April 2019. The occupancy rate of South Hills Apartment is currently considered quite high. As a result of our REMS team's performance, we have been entrusted by South Hills management to continue managing the apartment building.
